Exclusive Furniture is a large home furnishing business with multiple stores located across Texas. They specialize in ready-to-sell, highly customized, and made-to-order furniture collections. With an extensive range of product variations including size, design, colors, and custom specifications, the team at Exclusive Furniture is deeply invested in ensuring their customers have a seamless experience at every touchpoint from sales and order confirmations to deliveries and beyond.
The Challenges
Exclusive Furniture reached out to AltheaSuite and we had multiple demo sessions before we could get them to sign off. One of the biggest challenges during implementation was transferring over 10 years of historical data from their existing system. Due to limitations in their legacy system, extracting sales data proved difficult. While customer and product data could be extracted, the AltheaSuite development team had to take a backup of their database from their existing system and run custom queries to extract the historical sales.
Through this process, the development team successfully extracted sales data for each line item, including customer names, emails, and phone numbers from the past 10 years, and transferred everything to AltheaSuite. This ensured Exclusive Furniture maintained access to their complete transaction history.
Inventory Management Solutions
- Stock Allocation Process
AltheaSuite implemented customized changes to manage Exclusive Furniture’s stock allocation process for deliveries. The system was configured with predefined conditions to fulfill inventory allocation for sales orders, helping the company manage inventory correctly and plan delivery schedules more efficiently. This enhanced inventory planning and stock allocation has resulted in a smoother delivery process.
- Warehouse Management
With a huge warehouse to manage, Exclusive Furniture benefited from AltheaSuite’s Storage Location functionality. The system enables them to quickly locate items using detailed storage information including aisle, bay, and level details. This precise location tracking allows for faster item retrieval during the delivery preparation process.
- Barcode Sticker Printing
Exclusive Furniture now prints all types of barcode stickers from AltheaSuite including shelf tags, labels, hang tags, and normal tags immediately after creating a purchase order, streamlining their inventory tracking and management.
Delivery Process Enhancements
AltheaSuite enhanced the delivery process with Google Maps integration for easy scheduling. The system provides an overall view of deliveries scheduled for the day, organized by delivery truck. This visibility allows the team to see what’s already scheduled, what needs to be scheduled, and how many orders are assigned to specific trucks.
- GPS Tracking and Customer Communication
GPS tracking integration enables Exclusive Furniture to monitor the real-time movement of their delivery trucks. The system also includes automated customer communication, texting and calling customers prior to scheduled deliveries to improve the customer experience.
- Mobile Delivery Verification
Their delivery drivers use the application on their smartphones to capture customer signatures for verification and upload images of delivered furniture directly at the customer site, ensuring complete documentation of each delivery.
Sales and Commission Management
- Custom Product Configuration
One of Exclusive Furniture’s unique offerings is their custom furniture products. The main challenge was enabling sales of custom products with variations in color, size, design, and model number. AltheaSuite created a product definition with attributes that allows sales staff to create custom products on the fly and generate sales orders seamlessly.
- Automated Calculations
The system automates multiple aspects of the sales process, including:
- Tax calculations
- Delivery charge calculations
- Auto-populates predefined Warranty information
- Multiple payment mode options, including Finance Agency
A particularly complex requirement involved the “Finance Agency” payment mode, which needed to be non-taxable. The AltheaSuite development team implemented a solution where, after payment is applied against an order using the Finance Agency option, that portion becomes non-taxable and the system automatically recalculates tax for the remaining pending amount.
- Advanced Offer Management
We gave them a lot of advanced offers where they could define the discounts they wanted to give to their customers. Exclusive Furniture can now define various discount structures for customers, including:
- Offers on total order value
- Line item-specific offers
- Free delivery promotions
- Tax savings offers
- Complex Commission Calculations
One of the most significant challenges was calculating employee commission reports. Exclusive Furniture’s commission structure is highly complex, with calculations based on product sales, warranties, and mattress/bedding sales, each with different slabs for total sales and quantities sold. Additionally, bonuses are calculated on top of these commissions.
AltheaSuite implemented a comprehensive commission report system where employees can now view their expected commission with a single click, eliminating manual calculation errors and saving significant administrative time.
Real-Time Business Intelligence
AltheaSuite’s advanced KPI dashboard provides Exclusive Furniture with real-time visibility into running sales orders and deliveries. Additionally, a customized dashboard was developed specifically for Exclusive Furniture based on their delivery structure, matching their delivery commission report requirements and providing actionable insights at a glance.
