How Credit Notes from Finance Agencies Work in AltheaSuite — And Why They Benefit Your Business

Managing warranty claims, third-party payments, and supplier invoices can be complex and time-consuming for many businesses. That’s where AltheaSuite’s credit note functionality from finance agencies steps in to streamline operations and improve financial clarity. This blog post will walk you through how the process works in AltheaSuite and why it’s a major advantage for businesses that handle warranty service work, finance agency reimbursements, or manufacturer-backed coverage.

What Is a Credit Note from a Finance Agency?

In retail and service-based industries, it’s common for certain repairs, parts, or services to be covered by a finance agency (such as GE, Whirlpool, or a warranty provider). When this happens, instead of the customer paying directly, the finance agency reimburses your business.

A credit note is an accounting document that acts as a pre-approved amount from the finance agency — a kind of store credit that your business can later apply to other supplier invoices.

Step-by-Step: How It Works in AltheaSuite

Here’s how credit notes from finance agencies are processed in AltheaSuite:

1. Set Up the Finance Agency

Navigate to the Sales > Finance Agencies section. Each agency (like Marcone, in the example) is listed here and may also be designated as a warranty provider and a supplier.

Having the finance agency set up as both a supplier and warranty provider ensures seamless integration across invoicing, payments, and warranty claims.

2. Link the Warranty to a Service Call

Within a Service Call document, you can assign a warranty provider (the finance agency) to cover the cost of specific parts or services.

For instance, if a part is covered by Marcone, it appears in the invoice with its cost value — not the retail sales price — indicating that the business expects reimbursement from the finance agency.

3. Create the Sales Invoice

After completing the service, you generate a sales invoice. The amount owed by the finance agency (e.g., $54.23 for a part) is recorded against the agency account.

4. Receive Payment via Credit Note

Instead of logging a direct payment from the finance agency, you can opt to create a credit note:

  • Go to Sales > Receive Payments
  • Choose “Create Credit Note from Finance Agency”
  • Select the appropriate agency (e.g., Marcone)
  • Choose the invoice(s) to apply
  • Enter the amount (e.g., $54.23)
  • Click Create to generate the supplier credit note

This credit is now stored in your system and ready to be used against future supplier invoices.

5. Apply the Credit Note to a Supplier Invoice

To use the credit:

  • Go to Purchases > Make Payments
  • Select “Make Payment to Supplier”
  • Choose the applicable supplier (again, Marcone in this example)
  • Select an unpaid invoice
  • Click on the Credit Note tab
  • Apply the available credit (e.g., $54.23)
  • Pay the remaining balance (if any) through another method (e.g., check or bank transfer)

This multi-source payment structure keeps all records accurate and reconciled.

Why This Matters for Your Business

Improved Cash Flow Management

  • Credit notes act like future payment credits, allowing you to offset future expenses without waiting for cash disbursements. This enhances liquidity and helps with vendor payments.

Accurate Financial Reporting

  • Each credit note is traceable back to a specific service call or part. This ensures transparent accounting and simplifies audit trails, which is crucial for compliance and reporting.

Seamless Integration Between Modules

  • Because the finance agency is also set up as a supplier, AltheaSuite enables full-circle tracking: from service calls to invoicing, payments, and supplier reconciliation — all in one place.

Faster Reimbursements

  • Businesses no longer need to manually manage reimbursements or reconcile warranty claims. With just a few clicks, credits are created and applied within the system.

Supports Complex Warranty Scenarios

  • Whether you’re handling multiple agencies, products, or service types, AltheaSuite’s finance agency credit notes are designed to scale with your business.
