What Happens When You Modify a Sales Invoice?
When a sales invoice in AltheaSuite is modified, the system enters an “edit invoice” mode, effectively creating two versions of the same invoice:
- One version is marked as “editing”
- The original remains as “in progress”
This dual-version setup ensures that you can safely make changes without immediately overwriting the original data. However, once the modifications are saved, the system will overwrite the original invoice, retaining only the new version.
Importantly, AltheaSuite does not keep historical versions of invoices, so once changes are saved, the previous version is permanently replaced.
Why Modify an Invoice? Common Retail Use Cases
Retailers may occasionally find it necessary to modify a sales invoice due to a range of common issues, including:
- Incorrect product selection: A common mistake, such as choosing the wrong SKU or model.
- Pricing errors: Incorrect unit price entries that require adjustment before invoice delivery.
- Customer updates: The sale might have been assigned to the wrong customer account.
- Inventory corrections: Substituting a product due to stock discrepancies or customer requests.
Rather than voiding and reissuing an entirely new invoice, modifying the existing one can be more efficient and maintain continuity in your sales records.
How to Modify a Sales Invoice in AltheaSuite
- Navigate to Sales > Sales Invoices
- Find the invoice you want to update.
- Use the context menu to select Modify.
- AltheaSuite enters “edit invoice” mode.
- Make necessary changes (e.g., update items, change prices, correct customer info).
- If applicable, update the payment information—especially if prices or taxes change.
- Choose to process payment manually to avoid double charging through your card terminal.
- Save your changes—this will overwrite the previous version of the invoice.
If at any point the edit session is stuck (due to timeouts, logout, or connectivity issues), you can cancel the edit by locating the “in progress” version via the context menu and selecting Cancel Edit Sales Invoice.
Important Considerations
- Minimize use: It’s best practice to modify invoices sparingly. Frequent changes, especially to invoices from prior months or quarters, can complicate accounting and tax reporting.
- Avoid duplicate charges: If a card payment has already been processed, be sure to mark new payments as manual when re-saving a modified invoice to avoid double charging the customer.
- Track pending amounts: Adjusting prices or items may create new balances. Always verify that the invoice shows a zero pending amount before finalizing.
Alternatives to Full Modification
In many cases, full modification isn’t necessary. AltheaSuite allows you to make several changes directly in view mode, such as:
- Reassigning an employee
- Changing the customer
- Selecting a different warehouse
These edits can be done without entering modification mode, preserving the integrity of the original invoice.
The Retail Advantage
For retailers, the ability to modify invoices provides an essential safety net. Mistakes happen—whether due to human error, last-minute customer changes, or unexpected inventory updates. The flexibility to make corrections:
- Enhances customer satisfaction by avoiding unnecessary delays or rework
- Prevents financial discrepancies that could impact accounting
- Reduces operational friction when handling returns, exchanges, or corrections
However, with great power comes responsibility. Using this feature thoughtfully ensures that your sales records remain accurate and compliant with accounting standards.
In Summary
AltheaSuite’s invoice modification feature is a strategic tool for retail businesses. It empowers teams to quickly correct mistakes without disrupting workflows, while still maintaining financial oversight and control. Used properly, it helps create a smoother, more accurate invoicing process—benefiting both retailers and customers alike.
