How to Apply Warranty in Orders

To apply an extended warranty to an order in AltheaSuite, follow the steps below:

Log in to your AltheaSuite account using your credentials.

Navigate to Orders > Orders, then click +New to create a new order.

Fill in the required order details and enter the SKU for the item.

Upon entering the SKU, a popup window will appear prompting you to choose an extended warranty.

Scenario 1: Changing Warranty Selection Before Delivery

If you have selected “no warranty” but now wish to apply a warranty to the item.

Remove the ‘Declined warranty’ from the item grid.

Once removed the item line will turn yellow, indicating that a warranty selection is required.

Click on the context menu (three dots) next to the item and select ‘specify warranty’ to assign the desired warranty.

Select the warranty which customer wants to get added with the item.

After selecting the warranty, the item line color will return to normal, confirming that a valid warranty has been applied.

The selected extended warranty will become effective from the delivery date of an item.

Save the order, with or without specifying the serial number

Scenario 2: Post Delivery Warranty Update

Create a new Order and save it with the “No Warranty” option.

Generate an invoice from the order, record the payment, and deliver the item as per the scheduled delivery date.

The item is delivered without any warranty, as the customer initially declined it.

After delivery, the customer decides to purchase an extended warranty for the delivered item.

Navigate to Sales > Sales Invoices

Click on +Create Invoice to generate an invoice for the extended warranty. Make sure to create the invoice under the same customer’s name as the original sale.

Enter the warranty SKU in the SKU field. Once entered, you will be prompted to select the item to which this warranty should be applied. Choose the appropriate item and proceed to complete the payment for the warranty.

Navigate to the Warranty Manager to verify the start and end dates of the item’s warranty.
