Configuring Quotation Email in AtheaSuite

The Quotation Email feature in AltheaSuite allows businesses to automatically send quotation details to customers via email as soon as a quotation is created. The email includes product images, specifications, and relevant item details, giving customers a clear overview of the products they have selected. This helps businesses provide customers with complete quotation information quickly and professionally, without the need to send it manually.

Purpose of the feature 

• Automatically sends the quotation email once a quotation is created.
• Provides customers with product images and specifications.
• Gives customers a clear overview of their selected items.
• Reduces the need for manually sending quotation details.
• Improves the speed and efficiency of customer communication.
• Helps customers review product information conveniently through email.

Hello [CUSTOMERNAME],

Attached is a copy of your estimate. Please review the list of items on order.

For your convenience, we have also included the product specification sheets for the quoted items. These documents provide additional details and features to help you make an informed decision.

Demo Appliance

 Setup 

Step 1 : Navigate to Email Formats 

• Click on Business location 
• Select the business location the Email needs to be configured 
• Click on the three dots 

• Click on Email Formats 

Step 2 : Create an Email Format Document for Quotation 

• Email for : Quotation Email 
• PDF Attachment : Quotation_Laser 
• Attachment Name : Quotation #[QuotationNumber]

Step 3 : Adding the System Report for the Quotation to be sent with images 

• Add the template
• Select Additional Attachments from the bottom left 
• Add the report : LinksReport : Quotation_Specs

Note: Confirm the Email selected for format

Step 4 : Confirm email 

Save the quotation. Once the quotation is created, an email is automatically sent to the customer with the quotation details, product images, and specifications.

Step 5 : Check Email Logs 

• Confirm if mail is sent with attachment
