Creating a Bank Deposit

Creating a Bank Deposit

Step 1: Log into your AltheaSuite account. Then, navigate to the Finance Books module and click on Bank Deposit.

Click New on the top left corner of the screen.

This will open the Create Bank Deposit screen. This screen is automatically assigned a unique deposit number (e.g., CH-BD00521).

Step 2: Select the business location you are creating the deposit for in the Business Location field (purple box). This field is for record-keeping. Transactions from all locations will be visible by default.

The Bank Account To Debit field (orange box) shows the bank account where the funds will be deposited. It’s typically pre-selected.

You can enter a reference number from your bank’s deposit slip for easier reconciliation in the Deposit Reference Number field (red box). This is optional, though.

The date range for the deposit is located in the Date Range field (green box). This defaults to the current date, but can be changed as needed.

Step 3: To find the specific transactions you want to deposit, use the filtering options. The list of transactions at the bottom of the page will update as you apply filters.

The primary filter is Payment Mode. Click on the field to select one or more payment types you want to include in the deposit, such as Cash, Card, or Customer Check.

Use the Date Range field to select a custom date range to find the transactions you wish to deposit.

The Cash Register filter appears when you select “Cash” as a Payment Mode. It allows you to view transactions from a specific cash drawer. If you don’t select a specific drawer, it will show transactions from all cash registers.

Step 4: Once you’ve filtered, a list of transactions will appear in the bottom table.

Check the box next to each transaction in the bottom table that you want to include in the deposit. As you select transactions from the bottom table, they will appear in the top table for your review. The Selected Total Amount will update in real-time.

Step 5: After selecting all desired transactions, scroll down to the bottom of the page.

If you are making a cash deposit and want to leave some cash in the drawer (e.g., for a starting float), enter that amount in the Keep in Cash Drawer field. This amount will be subtracted from the total deposit.

Review the totals on the righthand side. The sum of all transactions you checked is the Selected Total. The amount you specified to leave behind is the Keep in Cash Drawer figure. The final amount that will be deposited (Selected Total – Keep in Cash Drawer) is the Total. Add any notes or comments about the deposit under Note (this is optional).

If all of the amounts are correct, click the Save button to finalize and record the bank deposit.

Step 6: When selecting cash transactions and associating them with a specific Cash Register, you may see a confirmation pop-up. This ensures that you are intentionally linking the selected cash transactions to a single cash drawer deposit. Click Yes to proceed.

After saving, the deposit will be recorded in the system, and the transactions included will be marked as deposited.
