Receiving a Credit Note from the Finance Agency

To receive a credit note from a Finance Agency in AltheaSuite, follow the steps below.

Login to your AltheaSuite account.

Navigate to Sales > Finance Agency.  Here you’ll find Marcone listed as a warranty provider. Most importantly, Marcone is also there as a supplier in the system.

Go to Service Calls > Service Call document, then click on +New to create a new service call document.

Enter all the required details. The service call will indicate that the service is covered under the Manufacturer warranty.

The service includes a part that is covered by Marcone as it is listed as a warranty provider and a supplier in the system.

To generate the invoice, select ‘Create Invoice’ from the context menu of the service call document, in which Marcone will be covering price of the part.

Since Marcone, as a finance agency, will be covering the cost of the part.

Navigate to ‘Receive Payments’, then select ‘Create Credit Note from Finance Agency’ to receive the payment as a credit note.

To create a credit note from the finance agency, enter the finance agency name, select the relevant invoice and, click ‘Create’. 

If required, you can add a note before proceeding.  This credit note can later be applied to the supplier’s future invoices.

View Credit Notes

To view all the credit notes, navigate to Purchase > Supplier Credit Note.

How to Make a Payment on a Supplier Invoice

To make a payment towards a supplier invoice, go to Purchases > Make Payments, then select “Make Payment to Supplier Invoice”.

Enter the Supplier name, select the relevant invoice and, choose “Credit Note” as the payment mode. Then, click on +New to apply the credit note to the invoice.

Select credit note from the list and click “OK” to add it to the payment.

Enter the amount to be applied to the invoice. The payment made using the supplier credit note will be displayed, and any remaining balance can be paid using the preferred payment mode.
