How to Break Group Items into Child Items

How to Break Group Items into Child Items

Step 1: Log into your AltheaSuite account. To create a new group item, navigate to the Products module, then click Items.

To create a new item, select New.

To edit an existing item, open its context menu (3 dots) and choose Modify.

Step 2: In the Item window, after setting your basic item details, turn the item into a group by checking Is a Group, then click Define Group, which appears after you check the box.

If you want the individual components to appear as separate lines on orders instead of a single grouped line, enable Add as a Child.

Step 3: Add the child items (SKUs) that make up the group and set their quantities according to how the group is assembled. The screen will display the list of components with their quantities so you can confirm the build.

Step 4, MANDATORY: Click Suggest Sales Price to open the pricing view. This screen lets you calculate the selling price of the group either from costs or from existing sales prices. Use one approach at a time for clarity. This will be detailed further. Your screen will look like this:

Step 5: There’s 2 main sections you can choose to fill in to set your price in the resulting screen.

  • Pricing Based on Cost Price (Green Box): Use this when you price by cost.
    • Unit Cost Price Including Making Cost: The per-unit cost of your group item.
    • Cost Price Including Making Cost: The total cost for all units
    • Markup (%): Percent added on top of cost.
    • Profit Margin (%): Target margin on the selling price.
    • Suggested Unit Sales Price: The price calculated from Markup or Margin. You can directly enter a custom price, disregarding Markup or Profit Margin.
      • Tip: Use either Markup or Profit Margin, not both.
  • Pricing Based on Sales Prices (Yellow Box): Use this when you start from existing sales prices.
    • Unit Sales Price Including Making Cost: Current per unit sales baseline of your group item.
    • Sales Price Including Making Cost: Total sales value for the build.
    • Discount (%): Percent to reduce the unit sales baseline.
    • Apply after markup: If you also used cost based pricing, apply the discount after that step.
      • This will apply the discount to the ‘Suggested Unit Sales Price’ in the Cost (Green Box) Section which is the price after Markup. The result will be in the ‘Suggested Unit Sales Price’ of the Yellow Box
    • Suggested Unit Sales Price: The price after discount (and markup if used).

Step 6: Select Apply to set the Suggested Unit Sales Price as the New Sales Price.

Step 7: Scroll down and click OK to finish creating the group.

Step 8: The Sales Price of the item in the item description will automatically be set based on your Group Definition. We strongly suggest not changing it outside Group Definition.

Step 9: If you enabled Add as a Child, the components will appear as separate lines within the order instead of a single group line. Those lines automatically reflect the markup or discount you set during pricing, and the Name column indicates they belong to the group.

Workflow Summary

  • Start by confirming quantities and the Unit Cost Price/Unit Sales Price values in the grid.
  • Choose one pricing path:
    • Cost-based (Markup or Margin), optionally followed by a Discount; or
    • Sales-based using Discount only.
  • Use Suggested Unit Sales Price → Apply to commit the result.
  • Re-check the Item Sales Price totals in the item definition to ensure the final build price reflects your policy.

Note: Field labels and exact posting behavior can be tailored in your setup.
