How to map the Financial Account Groups and Sub-accounts in AltheaSuite for QuickBooks

This document will show you the steps to map Account Group and Sub-accounts in AltheaSuite for QuickBooks. The  Sub-Accounts will show under the Account Groups in the QuickBooks after the IIF is imported.

Step 1: Go to the Financial Accounts module under the Finance Books menu. Select the account in the grid and click on the 3 dotted button.

Step 2: Select the Modify option.

Step 3: In the Modify Financial Account window, click on the Alternate Account name field. Enter the Account Group and Sub-Account name in the format Account Group Name:Sub Account Name

The Account Group name and Sub-account name must have a colon(:) between them for the system to consider it as a group and a sub-group.

Example: AltheaSuite creates a Petty Cash Account for each Business Location. There are 3 Stores and each has its Petty Cash account. Here AltheaSuite Cash is the account group and Cash in Tills are the sub-accounts. When imported to QuickBooks they will appear as shown below.

 

Map Account Groups and Sub-accounts for Sales and Purchase Accounts

This mapping will be applicable if you have multiple business locations in AltheaSuite.

Step 1: Go to the Business Location module under the Locations menu. Select the business location in the grid and click on the 3 dotted button.

Step 2: Select the Modify option.

Step 3: In the Modify Business Location window, click on the New toolbar button under the QB Account Mapping section.

Step 4: Select the financial account from the drop-down menu. Enter the account group and sub-account name in the QB Account name field. Give a class name for the selected account and click on Save.

The Account Group name and Sub-account name must have a colon(:) between them for the system to consider it as a group and a sub-group.

Step 5: You will see the account added to the grid. You can repeat steps 3 and 4 to map more financial accounts.

Step 6: Once you have mapped all the required accounts for the business location, click on the Update button.

Step 7: Now the repeat steps 3,4,5 and 6 with other business locations.

When imported to QuickBooks they will appear as shown below.
