Step 1: Login to your AltheaSuite account.

Step 2: Go to the Products module and click on Items.

Step 3: Add a new item or modify an existing item. Here we are modifying an existing item so select the item, click on the context menu (3 dotted button) and select Modify option.

Step 4: Scroll down in the Item detail window, enter the Minimum Order Quantity for the item. This will be applied whenever you create a Purchase Order for this item.

Step 5: If you want to define Minimum Order Quantity specific to a supplier then click on the Supplier Product Code link button.

Step 6: Click on New.

Step 7: Select the Supplier, you can enter the Product Code of the item used by your supplier. Check the checkbox ‘Supplier Specific Order Quantities‘ and then enter the Minimum Order Quantity value. Click on Create to save the changes.

Step 8: Similarly you can specify the minimum order quantity for other Suppliers. Click on the Cancel icon to close the window.

Step 9: Click on the Update to save the changes of Item details.

Step 10: To see the effect of minimum order quantity for the item, go to the Purchase Orders module and click on New.

Step 11: Select the supplier that was used in defining the minimum order quantity in the Item. To add the items in the PO, click on the drop-down menu and select the item from the list.

Step 12: You will see the item get added by its minimum order quantity.

Note: If you change the item quantity such that it goes below its minimum order quantity and then when you try to save the PO, the system will show you an error message as shown below.

To adjust the PO items with their minimum quantities, click on Adjust Quantities for Order Requirements button.

The system will change the item quantity and you will see a message for items that got changed.

The Item got that got adjusted with the minimum quantity will show in the red color. Click on Save.
